Privacy Policy
Last updated: 30 July 2026. This policy is maintained by the AutoPings team and explains how we handle personal data on this website and in the AutoPings product.
1. Who we are
AutoPings ("AutoPings", "we", "us") provides a messaging automation platform that lets businesses manage customer conversations across channels such as email, WhatsApp, SMS, Slack, and Discord. For personal data we handle about visitors, waitlist members, and account holders, AutoPings is the data controller. For customer message content processed inside a workspace on behalf of a business customer, AutoPings acts as a data processor and the business customer is the controller.

2. Data we collect
- Waitlist data. The email address you submit, and the date and time of submission.
- Account data. Name, email address, hashed password or federated identity (for example Google sign-in), workspace and role assignments, and profile preferences.
- Workspace content. Messages, contacts, knowledge base documents, automation configuration, and connected storefront data that you or your customers send into AutoPings.
- Technical data. IP address, browser and device type, referring page, pages viewed, and timestamps recorded in server logs.
- Support data. Anything you include when you email us or answer a product survey.
We do not knowingly collect special-category data (such as health or biometric data) and ask that you do not send it to us.
3. Why we use it, and our lawful basis
- To provide the service — routing, storing, and automating your messages, and authenticating your account. Lawful basis: performance of a contract.
- To operate the waitlist — telling you when access is ready and inviting you to shape the roadmap. Lawful basis: consent, withdrawable at any time.
- To keep the service secure and reliable — abuse prevention, audit logging, debugging, and capacity planning. Lawful basis: legitimate interests.
- To meet legal obligations — tax, accounting, and responding to lawful requests. Lawful basis: legal obligation.
We do not sell personal data, we do not share it with advertising networks, and we do not use customer message content to train general-purpose AI models.
4. Cookies and analytics
This website uses only cookies and local browser storage that are strictly necessary: session and authentication state, your light/dark theme choice, and a flag recording that you already joined the waitlist. We do not use advertising or cross-site tracking cookies. If we later add product analytics, this policy will be updated before it is switched on.
5. Service providers
We rely on a small number of processors to run AutoPings: cloud hosting and database providers, transactional email delivery, error monitoring, AI model providers used to draft replies, and the messaging and commerce platforms you choose to connect (for example WhatsApp, Slack, Discord, Shopify, or WooCommerce). Each processor is bound by a data processing agreement and may only use the data to provide their service to us. A current list of subprocessors is available on request from privacy@autopings.com .
6. International transfers
Some of our providers process data outside your country, including in the United States. Where that happens we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, together with technical measures like encryption in transit.
7. Retention
- Waitlist emails: until you ask us to delete them, or 24 months after launch if you never activate an account.
- Account data: for the life of the account, then deleted or anonymised within 90 days of closure.
- Workspace content: for the life of the workspace, then deleted within 30 days of deletion request, subject to backups expiring within a further 30 days.
- Server and audit logs: up to 12 months.
8. Security
We protect data with encryption in transit, encryption at rest with our hosting providers, hashed credentials, role-based access control, per-workspace isolation so data cannot cross between workspaces, and audit logging of privileged actions. Access to production data is limited to the people who need it to operate the service. No system is perfectly secure; if a breach affects your personal data we will notify affected users and, where required, the relevant supervisory authority without undue delay.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal data, to object to processing based on legitimate interests, and to withdraw consent at any time. California residents may additionally request disclosure of the categories of personal information collected and may opt out of "sharing" — although AutoPings does not sell or share personal information as those terms are defined by the CCPA. We will not discriminate against you for exercising any right.
To exercise a right, email privacy@autopings.com . We respond within 30 days. If you are covered by the GDPR and are unhappy with our response, you may complain to your local data protection authority. If your data sits inside a customer's workspace, we will forward your request to that customer, who is the controller.
10. Children
AutoPings is a business product and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has given us data, contact us and we will delete it.
11. Changes to this policy
We may update this policy as the product evolves. The "last updated" date above always reflects the current version, and we will email waitlist members and account holders before any change that materially reduces your privacy protections takes effect.
